The Information tab of Organization Configuration is separated into 4 sections:

Organization Information

The Organization Information section of the Information tab has the basic settings for an organization including Organization Name, Organization Short Name (used on SMS communication to keep the character count to a minimum), Communication Status, Client Id, Group NPI, and Tax Id / EIN.

Organization Name

This represents the friendly name for your provider. It will be displayed in all screens, reports, etc.

NOTE: If your partner has enabled PointClickCare integration, the Organization configuration screen will give you a convenient drop-down list of facility names for the Organization field. Upon selecting a PointClickCare facility, it will automatically populate the Name, Short Name, Client ID and Physical Address to ease the onboarding process and avoid user error.

Organization Short Name

This represents the short name for the provider and is used in space-sensitive areas like SMS text messages where character count impacts the number of segments in a message. Use an abbreviated name for your organization or leave it the same as the organization name. 

 

Communication Status

This controls whether Dunning communications are queued up for a given organization each night when the Dunning Collector makes it pass over all bills. If disabled, no notifications will be queued up. NOTE: this does not clear notifications already queued up nor does it pause communications so the bill will continue to age and, if you re-enable communications, Dunning will send based on the new disposition/age of the bill.

 

Client ID

This represents the unique identifier for your organization. It must be globally unique across the PatientPay enterprise. The clientID is passed in the statement JSON to identify the organization to which the bill belongs. Therefore, this is an important configuration detail for integrating PatientPay with the system of record. Consult with your PatientPay representative on ways to define and organization the Client IDs for your organization(s).

 

Group NPI

This represents the NPI for your organization or group practice. The National Provider Identifier (NPI) is a unique number identifying the institutional provider certified by Medicare to provide services to the beneficiary.
 

Tax ID / EIN

This represents the tax identification number (TIN) or EIN for the legal entity of your organization.

 

Addresses

The Addresses section of the Information tab has support for three types of address: Physical, Remittance and Lockbox. Physical Address is required. Remittance and Lockbox addresses are optional. You can check “Same as physical address” if you want to use the same address as the physical address for these two.

The Selected Address for Bill UI controls which of the three address types to display on the electronic bill for the billing entity. This impacts both the Patient Portal and Admin. The default is Physical Address.

Support

The Support section of the Information tab is for configuration of the support contact information for billing related questions. We display the support contact information including Name, Email, and Phone Number on the electronic bill and in the billing email footer so that patients can easily reach the billing entity that is sending the bill for questions. These fields are optional. If an organization doesn’t provide the Email contact, we will default to support@patientpay.com. If they do not provide a Phone Number, we default to (888) 730-9374.

URLs

The URLs section of the Information tab is used for configuring custom URLs for the organization.

Vanity URL

We allow partners to choose a shorter URL, known as Vanity URL, that is easier to remember and also provides a branded landing page (e.g., amg.patientpay.net).

This URL redirects to our Bill Code Login for bill lookup using the bill code and date of birth. Below is an example of the URL that a patient is redirected to when they visit amg.patientpay.net. Notice how the query string identifies the organization as amg and the page is branded with their logo.

The Vanity URL is stored in the paper_rules.bill_url DB column and passed in the print JSON field billUrl so that it can be included on the printed statement and QR code.

 

Logos

The Logos section is used for configuring the logos that are displayed in the Patient Portal and on email communications for the organization. If you wish to use different branding than the default of PatientPay, provide an approved logo in JPG or PNG format, in the suggested sizes, for all five locations. Press Upload to select an image file from your local file system. Press Delete to remove the logo image for the selected Logo Type. Be sure to press Save to commit your changes or Cancel if you want to abandon all changes.

Email Logo

This controls the logo that’s displayed in the header of all emails. The default is the PatientPay logo. The suggested size for this logo is 253 x 100 pixels.

Email Footer Logo

This controls the logo that is displayed below the bill summary. The default is the powered by PatientPay logo. The suggested size for this logo is 100 x 19 pixels.

Login Logo

This controls the logo that is displayed on the Patient Portal login. The default is the PatientPay logo. The suggested size is 158 x 30 pixels.

Billing Provided by Logo

This controls the logo that is displayed in the footer of the Patient Portal login. The default is the “Billing Provided by PatientPay” logo. The suggested size is 175 x 25 pixels.

Patient UI Bill Logo

This controls the logo that is displayed on the bill details in Patient Portal.

Print Logo

This controls the logo that’s displayed in the printed statement, letter and EOB. It is passed as the logoId in the print JSON. The suggested size for this logo is 158 x 30 pixels.
