The Ingestion Report provides a listing of statement files that have been ingested by PatientPay for a given partner and timeframe. For each file sent to PatientPay, we have the count of bills created, updated, ignored, and failed so that there is full accounting for all statements processed. You can filter the statements in a file by status (Created, Update, Ignored or Failed) or the statement ID / Date of Birth to look at specific statements. If you look at an individual statement, we list any warnings/errors found during ingestion that may have caused it to fail to load.

On the main report screen, you can select a partner and time frame to define the scope of the results. The partner drop-down is controlled by security permissions. PatientPay System Administrators will be able to see all partners.

The listing shows the time stamp, partner name, bill type (Lifetime, Episodic or Payment Update), file name, total bills count, status (Processing, Success or Failed), and count of warnings and errors in the entire statement file. If the results are too large to fit on screen, you can use the paging controls in the bottom right to navigate.

If you select a file in the list, you will be shown the Statement File Detail page. A breadcrumb at the top allows you to return to the Ingestion Report main screen. The header displays the partner, filename, time stamp ingested, bill type (Lifetime, Episodic, or Payment Update), total statements in the file, and status (Processing, Success and Failed). We also display a tally of the bills created, updated, ignored and failed in the file. This should total the number of statements received so you have a full accounting of what transpired.

The listing will show all bills contained within the specified file. We should the statement ID, patient ID, date of birth, total amount billed, total balance, status, and total number of warnings / errors found during ingestion processing. If a bill has at least one error, it will be placed in status Error. You can filter the listing by a search value (statement ID, patient ID, or date of birth). You can also filter by status which makes it easier to isolate statements with errors when the file could contain thousands of bills.

If you select a statement from the list, we load the Statement Detail. The breadcrumb at the top will let you return to the Statement File or the Ingestion Report main screen. The header includes the statement ID, statement date, time stamp the file was ingested, status, total billed and total balance. The list of warnings and errors is presented so you can determine why a statement failed to ingest. We have approximately 40 validation rules that must pass before a statement is deemed successfully ingested.

Downloading Statement Errors
If you need to get a list of all errors related to a given statement, you can use the Download link in the far-right column. This is only available to statement files in status of “ERRORS”. It will download a CSV with the following columns: 

  • Filename
  • Date Ingested
  • Practice Name
  • Statement ID
  • Patient ID
  • Date of Birth
  • Message

The Message column will contain the error message that caused ingestion to fail. NOTE: If the user does not have practice permissions for the statement, the Download button will be disabled to prevent unauthorized access.
