Logging in to View Your Bill

The first interaction between PatientPay and a patient is typically through an email, SMS text, or printed statement. The Patient Portal provides three ways to authenticate and view your bill(s):

  • Secure link from Email / SMS
  • Bill Code Login using a vanity URL and unique bill code provided on the printed statement
  • Login for registered users

One of the advantages of PatientPay is the ease of onboarding a new patient. The patient only needs to enter their date of birth to authenticate and view a bill. Less friction means more bills paid. Below we outline each method of accessing the Patient Portal.

Date of Birth Login

Electronic notifications are sent every business day starting at 9:45 AM EST based on the Dunning configuration for each practice. Email and SMS provide a secure link to the bill, which makes it very easy for the patient/guarantor. Below is an example of the Initial Bill email notification sent to a patient/guarantor:

Below is a sample SMS text for the Initial Bill notification:

When the patient/guarantor clicks the “View Your Bill” link in the email or the short link in the SMS text, they will be shown the Date of Birth Login and prompted to enter their date of birth. If the guarantor is the patient, they should enter their own date of birth. If guarantor and patient are different, enter the patient's date of birth. Below is the date of birth prompt for both desktop and mobile. Upon entering correct date of birth, the patient is be shown the Bill Details.

NOTE: If the user fails to enter the correct date of birth at least 10 times, they will be locked out for a period of 15 minutes. See Lockout from Login below.

Bill Code Login

The printed statement that is sent to patients contains a QR Code (2D barcode), vanity URL, and unique Bill Code that the patient can use to view their bill. Below is a sample section of the printed statement.

Bill Code Generation

The unique bill code that’s printed on the statement is generated at the time we create the printed statement, if the partner does not provide a value for externalBillCode in the statement JSON. For more about generating the bill code and integrating the Patient Portal into your EHR or system of record, visit our Integration section.

The patient can either scan the QR code using the camera on their mobile device or type the URL into their browser. We allow organizations to choose a vanity URL that is easier to remember and provides a branded landing page (e.g., rpg.patientpay.net) in Admin Configuration. When the patient visits this URL, they are redirected to our Bill Code Login (shown below). The patient is required to enter their unique bill code and date of birth.

Registered User Login

If registration is enabled for the organization in Admin Configuration, the user can opt to create an account login using a unique email address / password after successfully paying their bill. The next time they visit the Patient Portal, they can login using their email and password. This is convenient for patients that have repeating visits and want to manage multiple bills and payment methods. Upon successful authentication, the user is shown the Bill Detail or Bill Center screen.

Lockout from Login

As a security measure, if a user makes 10 failed attempts on the Date of Birth Login or DOB Login, we lock out that patient account on that browser for 15 minutes. Once the user reaches 9 failed attempts, we warn that only one more unsuccessful attempt is allowed before they are locked out.

After 10 unsuccessful attempts, we inform the user that they are locked out for 15 minutes.

During this 15-minute period, the user is given an error message if they attempt to login informing them of the lockout.

After 15 minutes passes, the user should be able to login once again with a valid date of birth. NOTE: This lockout is per patient account so while one account is locked out, you will be able to login to a different patient account.
